How we look after and safeguard information about you. 


Our pharmacists and their staff are members of your local healthcare team.

They aim to provide you with the highest quality of healthcare. To do this they need to keep records about you, your health and the care we have provided or plan to provide to you.

We know that you value your privacy and the security of personal information held about you.

Information recorded

As part of providing a professional, safe and efficient service, there is certain information that we record. This includes details of drugs and appliances dispensed against NHS prescriptions as well as significant advice given, and referrals made to other health professionals and any other relevant information.

Information recorded may include:

  • basic details about you, such as address, date of birth, next of kin;
  • records of medicines you have been prescribed by your doctor or another qualified prescriber, and which have been supplied by this pharmacy;
  • details of medicines purchased from the pharmacy without a prescription (“over the counter medicines”);
  • other details and notes about your health and medical treatment;
  • information relevant to your continued care from other people who care for you
  • and know you well, such as other health professionals and relatives; and   
  • any other services we provide to you, for example, a flu vaccination.


Processing information

We process your personal data, which includes information related to prescriptions and any other pharmacy and health care services we provide to you (e.g. medicines reviews, vaccinations, stop smoking services etc.).

We process your personal data for the purposes of:

Your care: providing pharmacy services and care to you and, as appropriate, receiving service and health records information if you have selected our pharmacy and sharing your information with your GP and others in the wider NHS;

Our payments: sharing your information with the NHS Business Services Authority, others in the wider NHS, and sometimes Local Authorities, and only limited information to those external to the NHS who negotiate and check the accuracy of our payments; and,

Management: sharing information with the NHS Business Services Authority, NHS England and others in the wider NHS, and sometimes Local Authorities; as well as those external to the NHS who ensure we maintain appropriate professional and service standards and that your declarations and ours are accurate.

We hold your information for as long as advised by the NHS.

We process your personal data in the performance of a task in the public interest for the provision of healthcare and treatment. A pharmacist is responsible for the confidentiality of your information.

We may ask you whether you wish to choose our pharmacy to receive and process your future electronic prescriptions. If you choose to nominate our pharmacy you can still change or cancel your selection later by speaking to a pharmacy team member.

Our pharmacy professionals may consult relevant records to support your care, such as NHS summary care records or local shared care records. We align with NHS protocols for use of records. We may also ask you if, whilst you remain under our care, our pharmacy professionals can consult relevant records.  If you allow us to see those health records this will help to ensure that relevant medical  information is visible to our professionals.

Your rights

You have the right to confidentiality under the General Data Protection Regulation and the Data Protection Act 2018 and the common law duty of confidence.

We also comply with the NHS Code of Practice on Confidential Information and pharmacists have a requirement under their professional standards to keep records about you confidential, secure and accurate.

All of our staff contracts of employment contain a requirement to keep patient information confidential.

You may choose to opt out of the NHS using your data for planning and research purposes – details are obtained by:

  • visiting the nhs.uk/yournhsdatamatters website portal; using the NHS App; or
  • writing by post using the instructions at the web  link above; or
  • calling the NHS Digital contact centre - 0300 303 5678 (open workdays Monday-Friday, 9am-5pm).

Our guiding principle is that we hold your records in strict confidence.


Your right to view your health record

You have the right to ask for a copy of all pharmacy records about you (generally in paper or electronic form).

Generally, there will be no charge for a printed copy of the information we hold about you. We are required to respond to your request within one month.

You will need to give adequate information in order for pharmacy staff to identify you (for example, full name, address and date of birth). You will be required to provide ID, for example a passport, full driving licence or credit/debit card before any information is released to you.

If you think any information we hold on you is inaccurate or incorrect, please let us know.

You may object to us holding your information.

You may lodge a complaint with the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

  2. How we collect information
    2.1 We may collect information about you from your completion of our on-line forms or from any email you send to us.
    2.2 Both we and the site owner, Enigma Interactive Limited ("Enigma"), will collect information about you if you register to use the SiteBuilder website at http://www.sitebuilderdiy.co.uk
    2.3 We may collect information about you if you contact us offline, for example by telephone, fax, email or post.
    2.4 We may obtain a record of site statistics about use of our Website from Enigma, but not in a format that identifies any individual.
    2.5 We receive information about your health from your prescriber in the form of NHS and non-NHS prescriptions, emails sent from your GP, surgery, hospital or other NHS organisations and information on shared NHS resources accessed in order to process your prescription or provide you a health service. 
  3. Cookies.
    3.1 We may use 'cookies' to allow us to improve the experience of visitors to our website. Cookies are small text files which are transferred from this Website and stored on your computer's hard drive. They enable a Website to "remember" who you are.
    3.2 Most browsers are automatically set to accept cookies but if you are using Microsoft's Internet Explorer or Netscape Navigator, you should be able to configure your browser to restrict cookies or block all cookies if you wish. This may, however, affect your ability to log into and use certain areas or our site.
    3.3 We use session cookies to keep track of your session when you use our Website. If we provide an online shopping service we will use session cookies to remember what is in your shopping basket. Session cookies are deleted when you close your browser. We do not use persistent cookies which remain on your browser until you delete them. No cookies on our site are served or used by third parties. We do not use "spyware", that is web bugs or hidden identifiers or other similar devices to gain access to information, store hidden information or to trace activities of users.
  4. Storage of information
    4.1 Your information will be stored on Enigma's web server and we will keep our own backup copy. We may also store your information on paper at our offices.
    4.2 Your information regarding your health will be stored on our Patient Medication Record systems and we will keep back up offices on secure servers. 
    4.3 We use third party NHS and GDPR compliant software providers to keep your records secure and encrypted, which can only be accessed by us in order to provide our pharmacy services. 
    4.4 We will keep your information secure by taking appropriate technical and organisational measures against its unauthorised or unlawful processing and against its accidental loss, destruction or damage.
  5. Your Rights
    5.1 You have a statutory right to see a copy of the information we hold about you on payment of a statutory fee, which is currently £10.
    5.2 You have the right to rectify any errors in information we hold about you and to change or correct any details you have already given us. Please inform us about changes to your details so that we can keep our records accurate and up to date.
    5.3 You have the right to opt out of receiving any marketing material from us at any time.

  6. What we use your information for
    6.1 We will use your information to provide you with any further details or information you request when you contact us.
    6.2 If we provide an online shopping service we will use your information to fulfil your order.
    6.3 We process your personal data, which includes your name, contact details, prescription medicines and data from other pharmacy and health care services we provide to you  for the purposes of; your care: providing a pharmacy service to you; our payments: sharing limited information regarding services provided to you with the NHS Business Services Authority in order to obtain payment for any services provided; compliance: providing limited data to the NHS Business Services Authority and other healthcare organisations to check the safety, accuracy and legality of our services provided to you.
    6.4 process your anonomysed data in the performance of tasks in the public interest, such as for NHS audit and statistics purposes to improve the performance of services provided to the general public
  7. With whom we may share your data
    7.1 We will not share your information with any other organisation except in the following circumstances.
    7.1.1 We will share your information with Enigma to enable them to host your information or to register you as a user of their website.
    7.1.2 We will give third party providers who supply services to us (for example, as part of hardware or software maintenance) or who process information on our behalf (such as a hosting company) incidental access to your information.
    7.1.3 We will disclose your information to enforcement authorities if asked to do so, or to a third party in the context of actual or threatened legal proceedings.
    7.1.4 If we provide an online shopping service, any credit or debit card details you supply will be passed to our payment provider and your card issuer.
    7.1.5 We may share your information with another organisation which buys our business or our assets or to whom we transfer our agreement with you and in the course of any negotiations, which may or may not lead to such a transfer or sale.
    7.1.6 We share information with the GP and wider NHS organisations in order to process your prescriptions and provide pharmacy services
    7.1.7 We share information the with the NHS Business Services Authority and the EMIS group (via Pharmoutcomes)  in order to obtain payment for any NHS services provided
    7.1.8 We share anonomysed data with the NHS Business Services Authority, the General Pharmaceutical Council, the Integrated Care Board and NHS England for audit and complaince purposes
  8. Transfers outside the EEA
    We will not transfer your information outside the EEA. The EEA comprises certain countries within Europe (including the EU) which have similar laws on data protection. Other countries outside the EEA may not give the same level of protection to your information.
